Online Code of Conduct
Applicable for all Zoom Meetings
This Code of Conduct is designed to protect the rights of all users of Lancashire Wellbeing services, whether staff, clients or visitors, to participate freely in the activities of the practise both formally and informally. Engaging or booking any Lancashire Wellbeing service confirms that you are willing to comply with the practise’s rules, regulations and procedures. All clients are expected to keep themselves familiar with those rules, regulations and procedures and with this Code.
Code of Conduct
One-to-one online learning or sessions involving under 18s or vulnerable adults must be agreed upon with parents/carers prior to taking place. Such activities must then take place only on the days/times agreed with parents/carers. They or other responsible named adult should be present in the house at the time.
The session must be recorded and backed up onto an approved safe, secure workspace to provide a record and to protect both the Therapist and client.
Both the Practitioner and the client must wear suitable clothing, as should anyone else who might be visible on screen in both the practitioner's and the client’s households.
Online Coaching sessions should be conducted in a suitable, quiet area, and webcams should ideally be sited against a neutral background or, where possible, a virtual/blur background should be used. If no such area or background is available, only audio should be used.
Language must be professional and courteous at all times, including that used by any family members in the background. Content/subject matter covered should be relevant to the programme and neither the practitioner nor client should make comments of a personal nature unless relevant to the session.
Staff, Practitioners and Clients should be mindful of any personal information that may be on their computer desktop. Before sharing their screen on a video call. Computer desktops should be cleared of any materials that will not be used.
Staff, practitioners and clients are expected to respect and observe the rules and regulations and terms and conditions of Lancashire Wellbeing at all times while engaged in online activities.
If a client’s behaviour is deemed to be in breach of this Code of Conduct, they will be removed from the session or the session will be ended, and the client will forfeit any fees paid and any future bookings may be cancelled. Breaches from Staff and Practitioners will be subject to investigation in accordance with the appropriate disciplinary process.

Lancashire Wellbeing Limited provides wellbeing programmes, services and resources. We collect and process personal information when you contact us, make an enquiry, register for or participate in one of our programmes or services, complete questionnaires or feedback, or choose to receive information and updates from us.

Health and wellbeing information
Information concerning your health is special category personal data and receives additional protection under data protection law.

Where we rely upon explicit consent under Article 9(2)(a) UK GDPR, we will ask you to provide this consent clearly and separately.
Where processing is based on consent, you can withdraw that consent at any time. Withdrawal will not affect the lawfulness of processing carried out before consent was withdrawn.

Booking and Payments
Lancashire Wellbeing provides a range of structured wellbeing programmes by professional coaching to support personal growth, emotional resilience, and positive behavioural change. Each programme includes clearly defined sessions, outcomes, and support methods so clients understand exactly what they are purchasing.
Our service descriptions outline the purpose of each programme, the techniques used, the duration, and what clients can expect during and after their sessions.
As our services are non‑physical and delivered either in person or online, we ensure all programme details are transparent and comprehensive to help clients make informed decisions and to set clear expectations from the outset.
We display all programme prices in GBP (British Pounds), with each programme priced at £250.00 GBP to ensure clarity
Lancashire Wellbeing provides direct customer support through multiple contact methods, including our dedicated email address Team@lancashirewellbeing.com, ensuring clients can reach us quickly and easily for any questions or assistance.
Refunds may be issued when requested within our stated terms and before programme delivery has begun. As our services are delivered digitally, there is no physical shipping, and programme access or session details are provided directly to clients upon booking. Because our services are not physical goods, returns do not apply; however, clients may contact us to discuss any concerns. Clients may cancel their programme or sessions in line with our cancellation terms, which outline the conditions and timeframes under which cancellations can be made.
Most major credit and debit cards are accepted. Digital wallets and bank transfers.
Cancelations and Refunds
Cancellation by You
We understand that sometimes plans change. Our programmes are delivered in small groups, with each participant reserving a place for the full programme. For this reason, the following cancellation policy applies.
Your 14-Day Cooling-Off Period
If you book your place online, you have the right to cancel your booking within 14 days of making your booking and receive a full refund, provided the programme has not started.
If you book within 14 days of the programme start date, or choose for the programme to begin during your cooling-off period, you acknowledge that your statutory cancellation rights may be affected once the programme has started. Where any part of the service has already been delivered, we may deduct an appropriate amount from any refund in accordance with your statutory rights.
Cancellations After the Cooling-Off Period
Once your cooling-off period has ended, we require at least 14 days' notice before the programme start date if you wish to cancel your booking and receive a full refund.
Unfortunately, cancellations made with less than 14 days' notice before the programme starts are not normally eligible for a refund, as your place has been reserved and it may not be possible to fill it at short notice.
Once the programme has started, refunds cannot be given for missed sessions, non-attendance or if you choose to leave the programme early.
Transfers to a Future Programme
If you are unable to attend with less than 14 days' notice, please contact us as soon as possible.
While we cannot guarantee a transfer, Lancashire Wellbeing may, at its discretion, offer you the opportunity to transfer your booking to a future programme where circumstances allow and a suitable place is available. Each request will be considered individually.
Cancellation by Lancashire Wellbeing
If Lancashire Wellbeing needs to cancel or postpone a programme for any reason, including insufficient participant numbers or circumstances beyond our reasonable control, you will be offered the choice of:

a full refund of any fees paid; or
-
transferring your booking to the next available programme or an alternative date.
Exceptional Circumstances
We appreciate that exceptional circumstances can arise. If you experience unforeseen events that affect your ability to attend, please contact us. While we cannot guarantee a refund or transfer outside this policy, we will always consider requests fairly and sympathetically on a case-by-case basis.
Promotion Terms
If Lancashire Wellbeing offers any discounts, introductory prices, or limited‑time promotions, the specific terms will be clearly displayed at the point of purchase. This will include eligibility, duration, what the promotion includes, and any conditions for cancellation or refund.
Practitioner Delivery and Consent
Some services are delivered by individual practitioners engaged by Lancashire Wellbeing Ltd.
Additional service-specific terms, including informed consent and practitioner agreements, may apply and will be provided separately after booking and before delivery.
Intellectual Property
All content on this website, including text, graphics and branding, is owned by or licensed to Lancashire Wellbeing Ltd.
You may not copy, reproduce or use website content without our prior written permission.
Limitation of Liability
To the extent permitted by law:

Video‑conferencing and online meeting platform
Applicable for all online Meetings & Sessions
CODE OF CONDUCT FOR ONLINE COACHING, WELLBEING SESSION & WORKSHOPS GUIDANCE FOR CLIENTS TO USE A VIDEO-CONFERENCING AND ONLINE MEETING PLATFORM.
SET UP
Step 1: Set up an account. Sign-up/download it (usually free to do so).
Step 2: Camera and Audio. You must have the resources for both video and audio.
Step 3: Wi-Fi. Ensure you have a good connection. If you think this will be an issue then please raise this asap with your coach mentor.
Step 4: Working environment. Please be mindful of your surroundings and appearance. While the aim is to mirror the relaxed and informal manner of our face-to-face sessions, it is important that you dress appropriately whilst online.
Step 5: Invitations. The Practioner will host the session online. This is simple for them to do as long as they have your current email address. Once you have received the information for the appointment, either; click on the link or add the meeting ID and any password when prompted. You will be held in a waiting room until the coach mentor is ready. They will know you are waiting. Please be patient as they may be finishing up with a previous client. Once they are ready for you, they will admit you to the room and the session can begin. They do have the ability to message you in the waiting room if need be.
Step 6: Online meeting platforms include features that allow sessions to be recorded. Recordings will only ever be made with your explicit consent and only when necessary. Please note that only the meeting host has the ability to start a recording.
These platforms also include a chat function, which you can use to send messages, share links, and upload files during the session.
REMOTE APPOINTMENTS VIA ZOOM
Client Options. All clients being booked for a session will be offered a remote Zoom appointment.
For clients who are unable to use Zoom, or do not wish to, they will be offered either Face Time, Teams or telephone appointments.
